Below is a table of all College mail lists. The table has the sending address of the mail list, list owner and list administrator.

How do I send an email to a mailing list?

In order to send a mailing to all the subscribers of a mail list, you first need the email address you are sending from to be whitelisted (approved) for sending to that mail list. It is worth remembering that it is the ‘sending’ email address that has permission to a list and so if you operate multiple email addresses, be careful as to which address you are sending your email from. To send a mailing to a list:

1. Add the appropriate mail list email address(es) (see table above) to the ‘To’ address field of your email. Mail list addresses will NOT work if entered into the ‘Bcc’ field.


2. When you have finished composing your email, press send as per any standard email.
3. Within 60 seconds, you will receive an email back from ‘sympa@maillist.ox.ac.uk’ similar to the one below requesting confirmation the message is to be distributed. Click the URL in the email to authorise the message – an automated email will open, simply click ‘Send’.

4. After a further 60 seconds, you should receive another email from ‘sympa@maillist.ox.ac.uk’ informing you once the message has been sent to all subscribers of the mail list(s).

How do I obtain permission to send to a mail list or know who the subscribers on a particular list are?

The table above has all the mail lists, list owners and their administrators. If you require permission to send to a particular mail list or need information as to who is subscribed to a mail list, then you should email the list administrator(s). Whilst the ICT team can also manage all the lists above, it is not for the ICT department to make decisions on access – it is ultimately the list owners.

How do i know which mail lists i am subscribed to?

There is an online portal for all University members to see and manage their subscriptions to mailing lists.

1. Click the link above.
2. In the top right hand corner – click ‘Login’. Use your SSO (bras****) credentials.
3. On the left hand side of the page will be all the mail lists your are involved with.

4. If you would like to unsubscribe to any of the lists, click ‘Manage Your Subscriptions’ at the top of the list of mail lists.

I am a list admin – how do i access the control panel?

1. Click the link above.
2. In the top right hand corner – click ‘Login’. Use your SSO (bras****) credentials.
3. On the left hand side of the page will be all the mail lists your are involved with. The lists you have management rights to have an ‘Admin’ button to the left of the list name.

4. To administer a particular list, click ‘Admin’ (to the left of the mail list name).
5. In the centre of the windows will be the configuration tabs for the mail list you selected:

  • Manage Subscribers: Allows you to add or delete mail list member emails addresses.
  • Whitelist: Whitelisted email addresses are ones allowed to post message to the mail list.
  • Manage Archives: Allows you to download and delete list archives.
  • Bounces: Manage email addresses that are bouncing mail back after a message is sent.
  • Logs: View logs about previous mailings or changes to the mail list.
